TIP 102: Creating Secure Adobe PDFs

One of the greatest aspects of Adobe's PDF technology is that it can be viewed by anybody anywhere on almost any device. However, sometimes you want to keep a tight lid on sensitive documents and you want to limit who is allowed to see certain files. For the first time ever, you can export secured PDFs directly from GoLive CS2 so you can control who views your documents.

Storing Security Settings

If you find yourself using the same security settings over and over again, you can enter the security settings as an application-wide preference to save time. In the application preferences, select the Security section under Adobe PDF and enter your preferred passwords and security controls. Now GoLive will use the same security settings every time you export a PDF until you change the preferences or override the security options in the Export Adobe PDF dialog.


Start by opening the Web page you want to convert, switch to PDF Preview mode, and choose File > Export > HTML as Adobe PDF. Customize all the other PDF export settings you need and then select the Security section. To prevent users from opening the PDF unless they have the special password, check the option labeled Require a Password to Open the Document and enter the password twice for verification (Figure 102). Nobody, including you, can open this PDF without the assigned password. If you're not confident you'll remember the password, you should write it down in a discreet location or create a non-secure version of the same PDF for your backups.

Another interesting way to secure a PDF is to allow anybody to open the file, but restrict certain kinds of access. For example, you can assign a Permissions password that allows viewers to read the PDF but prohibits printing the document. You can also adjust the permissions security so that viewers can open the PDF and make comments, but not extract any content from the PDF. Experiment with the various options and you'll find several interesting possibilities.
