Working with Discussions

Discussions let your team communicate about a project and its tasks directly in Sitespring, the application that organizes them. The messages don't get lost in your in-box; they stay linked directly to a project. Users with permission can publish certain message topics, or threads, to the project site, where clients can participate and have their comments recorded publicly. Additionally, there's no chance of accidentally leaving a user out of a discussion, as can happen with email distributions; all users have access to Sitespring discussions. Finally, users who join an in-progress project don't need to nag their peers into sending them the project's email trail, as new users can log in and read the discussions on their own.

Now that you know some of the benefits of discussions, it's helpful to know their limitations. Some of the more positive features, such as ease of access, can be a drawback. If a team member makes a gaffe in a discussion, the URL can find its way around the office as quickly as an offending email. Another problem common to both email and discussions is the ease with which a client can be exposed to inappropriate information. In an email exchange, a team member could hit the Reply All button and inadvertently include a client in a tactless discussion about the client. A user could also unthinkingly publish a discussion to the project site that would best be left to the privacy of the team. Finally, you might be concerned that users won't always check the discussions and may miss important messages. While that's a possibility, you can mitigate it by setting your email notification preferences to tell you when new discussions start or new messages are posted.
