Automating E-mail Organization

While the techniques described in the first part of this chapter are powerful, they can take valuable time each day. To enable you to organize your e-mail as easily and quickly as possible, Outlook provides rules—automated processes that act on e-mails that fit certain criteria in specific ways. If you get a lot of junk e-mail or if you’re targeted by adult mailings, Outlook has built-in rules that handle these incoming e-mails automatically. If you consistently process certain types of e-mails in the same way, you can create your own Outlook rules to help out; for example, you can choose to sort incoming e-mail into different folders or forward it to others based on the sender or keywords in the subject line.

Banishing Junk and Adult Mail

Outlook provides automatic ways to banish those junk mails that can both clog your mail system and annoy the heck out of you every day. Outlook identifies junk or adult mail by comparing the subject, sender, and text of incoming e-mail to a list of junk and adult content senders. This list is initially provided by Outlook, but you can add names to it. You can set Outlook to automatically color-code, move, or delete junk and adult e-mail as it arrives. To set a junk or adult mail filter, do the following.
