Essential roles in project team meetings

When conducting project team meetings, it’s critical to have a facilitator and a recorder. You should choose someone for each of these roles at the initial project meeting. These two functions help keep the meeting on track and document the proceedings.

Facilitator

The facilitator is usually either the team leader or a team member who has been chosen for the role. Facilitators schedule meetings and notify participants, prepare the agenda, and arrange for any audio or visual equipment necessary. During the meetings the facilitator’s role is to promote effective communication and resolve conflicts. After each meeting the facilitator follows up on the progress of assigned tasks and arranges for recognition of team members when appropriate.
