Before the trip or meeting:

Start a folder for the trip as soon as you know one is scheduled.

Collect information about meeting dates, transportation and/or lodging requirements, RSVP procedures, etc.

Put in reminder slips of things your boss may wish to take along.

Review contents of previous folders; check whether the same material is needed on this occasion.

Make any necessary reservations for travel, meals, or lodging.

Pretend you are “in your manager’s shoes” and visualize what else might be needed.

Make a list of everything taken to the meeting.
