Step 1:. Pinpoint the Process

Schedule a quiet time when you can both read your e-mail and monitor what you do. As you go through your in-box, note the steps you take and jot them on the lines below. Use as many lines as you need to describe this process. Thirty messages should give you enough data. The first entries below are samples to get you started. HINT: Use action verbs, such as open, read, delete, file, print, archive, and the like.

  1. Read sender names and header files to gauge importance.

  2. Automatically delete messages that are clearly spam, promotionals, or newsletters I never read anymore.

  3. Open message from the boss, realize it is too long to deal with now, close it, and make a mental note to return to it later.

  4. Open message related to an earlier e-mail, skip new messages to find earlier one.
