Importing Data from Another Program

Importing information into Outlook from other applications saves you from having to retype data you need. With Outlook you can copy information from other programs, such as Microsoft Word, Microsoft Excel, Lotus Organizer, Microsoft Schedule, your Personal Address book, and other e-mail programs like Eudora, Netscape Messenger, Outlook Express, or Microsoft Mail. For example, you can import information from other address books, databases, or spreadsheets into your Outlook Contacts folder. If you already have information in an Excel workbook that you can use in Outlook, the Import function is a quick and easy way to get the information into Outlook.

Import Information from Another Program

Click the File menu, and then click Import And Export.

The Import and Export Wizard starts.

Click Import From Another Program Or File, and then click Next.

Select the file type you want to import into Outlook, and then click Next.

Click Browse to locate the file you want to import, and then double-click the file.

Select an option (Replace Duplicates With Items Imported, Allow Duplicates To Be Created, or Do Not Import Duplicate Items) for dealing with duplicates, and then click Next.

Select the folder into which you want the file to be imported, and then click OK.

Your next step depends on the type of data you are importing.

If importing data from an Excel workbook, for example, click the Map Custom Fields button, drag the Value field you want to convert onto the appropriate Outlook field listed on the right, repeat until all the fields you're importing map to your Outlook fields, and then click OK.

Click Finish.
