Chapter 10. Using Folders > Recovering Deleted Folders and Items with Exchange ...

Recovering Deleted Folders and Items with Exchange Server

You can recover folders or items that have been deleted and removed from the Deleted Items folder only if you are using Exchange server and the administrator has enabled deleted items recovery for your mailbox. Deleted items recovery keeps a record of items deleted for a period set by the administrator—for example, five days. During that period, a deleted item can be recovered, even an item that was hard-deleted using Shift+Delete.

tip

Some people use the Deleted Items folder as a storage and archiving location, which is a very bad idea. It's far too easy to clear out the Deleted Items folder (or forget you enabled the feature to clear the folder when Outlook closes) and then realize you needed an item that was just permanently deleted.

If you want to store items, either create a custom folder for storage (you could name it Storage) to keep the items online or use Outlook's archiving to move the items offline. Store items offline when you don't need to use them very often and store them online when you need frequent access to them. Archiving is covered in Chapter 13, “Archiving Data.”
