How Outlook Stores Data

If you are a home Outlook user, your default data file is a Personal Folders File (PST file). If you are using Outlook in a business setting, your default data file may be an Exchange mailbox located on a Microsoft's Exchange server computer. All Outlook data is stored in one of these types of data files; there are no separate files for e-mails, calendars, address books, or other Outlook data.

PST FilesExchange Mailbox
Stored on your hard drive.Stored on an Exchange server (typically only found in a corporate setting).
Can be opened by only one person at a time, and cannot be shared simultaneously with different people.Can be shared and opened by more than one person at a time, if the other people have permission to open that mailbox.
Can use only PST files.Can work with PST files for archiving in addition to the Exchange mailbox.
