Backing Up Outlook Data and Settings

Backing up Outlook data is different from archiving the data. Archiving moves or deletes data from your Outlook data store, whereas backing up the data makes a copy of the data in another Outlook data file. Outlook settings such as your profile and e-mail account information also can be backed up, which is different from backing up your Outlook data.

Backing up your Outlook data and settings is very important because hard drives can fail and computers can be damaged by electrical power surges, power failures, and lightning strikes. You can use a surge suppressor strip and an uninterruptible power supply (UPS) to minimize electrical problems, but you can never completely eliminate all possible causes for computer data loss. It's better to be prepared for a disaster than to lose your data.
