Chapter 13. Archiving Data > About Archiving

About Archiving

Some people save every e-mail message they've ever received because they might need them, but they never look at any of the older messages. Some businesses, such as financial service companies and law firms, save every e-mail message because of legal or business requirements but rarely refer to those messages. These e-mail messages as well as tasks, appointments, and other Outlook items don't need to be located in your default Outlook data file; they just have to be available somewhere if you do need them. The best solution is archiving items that you don't need to access very often.

When items are archived, they are removed from your default data file and either moved to a different data file or deleted. Items are archived automatically by Outlook, which is called AutoArchiving, unless you turn off archiving. You also can archive items manually whenever you want in addition to using AutoArchiving.
