Sharing Documents with Others

Open the Tools menu and select Options to open the Options dialog box.

Click the Security tab and type a password in the Password to Open field (any time you try to open this document, you must enter the same password); then click OK.

Reenter the password in the Confirm Password dialog box and click OK to return to the document. When others attempt to open the file, a password will be required.

INTRODUCTION

Word allows you to share your files with others. When you share files with multiple users, however, you might want to protect your documents. You can do so either by restricting access to the document or by preventing changes being made within each particular document. The three file-sharing options are password to open (covered here), password to modify, and read-only recommended. The Track Changes feature is turned on automatically when you protect a document (see the task “Tracking Document Changes” later in this part for more information). Don't forget the password you assign to your documents. If you forget or misplace the password, you will not be able to access the document.

Password to Modify: You can read the document but must know the password to make any changes. Read-only Recommended: You can suggest the document be opened as read-only, but you can't require it.
