Changing Company Records

Is there a way to prevent the person with administrative security clearance from going back to a prior year and changing the company records?

The administrator always has complete rights to change the information stored in the company file. If this is a problem, you can consider assigning the administrative rights to your outside accountant rather than to someone who works at your company. You can also keep separate QuickBooks files for each year, and not make the prior year file available to the administrator. The downside of this procedure, of course, is that it is more difficult (although not impossible) to prepare comparative statements. You can pull information from each year of QuickBooks records into a spreadsheet program, and create your comparative statements there instead of within QuickBooks.
