CPA Tip: Printing to a File

QuickBooks provides three types of files to which you can print. Use the following descriptions for guidance, but you might find that you need to experiment with your own software to see which choice is best for you:

  • ASCII text file Use this type of file if you plan to open your report in a word processing program. Spaces appear between the columns when you open the file, so you might have to work with the appearance to make it look the way you want it to.

  • Comma delimited file This type of file can be opened in either a spreadsheet program or a word processing program. Commas appear between the columns of text. Use this type of file if you plan to open your report in a spreadsheet program other than Excel (you can open a report in Excel just by clicking the Excel button at the top of any report). When you open this type of file in another program, you’ll receive a message that this is a delimited file, meaning that a character takes the place of tabs. In this case, the character is a comma. You see a window in which you can indicate the delimiting character; then the program separates the information into columns, breaking it at the delimiting character. In other words, for every comma, a new column starts.

  • Tab delimited file This type of file can be opened in either a spreadsheet program or a word processing program. Tab characters appear between the columns of text. The characteristics of the file are similar to those described in the comma-delimited file description, except that the program looks for tab spaces instead of commas to identify the separation between columns.
