Using the Formatting Toolbar

Excel's Formatting toolbar offers the most common tools used for changing the appearance of text. Table 5.1 shows the tools that change the appearance of text.

Button Name Method of Use/Formatting Effect
Font Click the down arrow to see a list of fonts. Select a font from the list to apply to the selected cells, or text or numbers within a cell.
Font Size Click the down arrow to see a list of point sizes for the selected cell(s), or text or numbers within a cell. The larger the point size number in the Font Size box, the larger the text will be.
Bold Click the Bold button once to boldface the selected cell content, or selected text or numbers within a cell. If the selection is already bold, clicking this button removes the bold format.
Italic Like the Bold button, the Italic button works by clicking it to apply the format. You also can click this button to remove italic formatting from a selection.
Underline Click the Underline button to apply an underline to selected cell(s) or text or numbers within a cell. The underline spans spaces between words. Click the button again to remove the format. This is different from applying a bottom border to the entire cell, a technique discussed later in this chapter.
Align Left Text is left aligned by default. You can apply this alignment to numeric content as well by selecting a cell or cells and clicking the Align Left button.
Center Useful for titles and column headings, centering cell content creates equal space to the left and right of the content in each selected cell.
Align Right Numbers are right aligned by default. You also can apply right alignment to text. This format is especially effective for row headings.
Merge and Center Used primarily for worksheet titles, this button enables you to center text in a single cell that spans multiple columns. Merge and Center also enables you to merge and center text across multiple rows. Press to merge and center and depress to remove merge and center.
Font Color Change the color of the cell content. Click the button to see a palette of 40 different colors, and click one of the colors to apply it to the selected cell(s) or text or numbers within a cell.
