Secrets of the Office Masters: Sharing a Task List

Are you and a coworker in another location responsible for sharing the workload on a complex project? Use Outlook's Net Folders to help you keep all the details well in hand.

  1. Outlook's Net Folders feature is not installed by default. To make life easier, both of you should run the Office Setup program in maintenance mode and choose Add or Remove Features. Find the Net Folders option under Outlook and change its configuration from Installed on First Use to Run from My Computer.

  2. Choose File, New, Folder and create a new folder containing Task Items. Give the folder a descriptive name (Product Launch Tasks, for example) and place it in the top-level folder in your main Personal Folders file.

  3. Display the new folder's contents and add at least one new task; then choose File, Share, This Folder.

  4. Use the Net Folders Wizard to add your coworker as a subscriber to the folder, with Editor permissions.

  5. After you finish with the Net Folders Wizard, Outlook sends a message to your coworker. When he or she accepts the subscription, you'll both have a copy of the same task list, with full freedom to add, edit, and delete items as needed.
