Editing and Revising as a Group

If you are working on a network, you can make your documents available to other users on the network so that they can review them. To make the document available to other users, simply put a copy of the document in a shared folder. However, to protect the document against permanent changes being made by other users, you must first prepare the document for review. You can protect the document so that other users cannot change the text but can add comments, calledannotations. Annotations appear in a separate pane and are identified by the user's initials. Another option is to allow the user to make revisions, but the revisions are marked so that they are not incorporated into the document until you choose to do so. You can identify who made each revision and the time and date they were made. Word uses a different color to mark each user's revisions. For extra protection, you can attach a password to the document so that other users cannot unprotect the document and make changes that are not tracked.

To prepare a document for review by others, follow these steps:
