Task 20 How to Insert Page Numbers and Page Breaks

By default, Word keeps track of how much text can fit onto a document page and makes page breaks automatically for you. However, you will encounter times when you want to insert a page break yourself. If you're creating a document with two or more pages, you should consider adding page numbers. Word inserts them and adjusts them according to changes you make to the document. When you're ready to print, the page numbers print, too.

  1. Insert a Manual Page Break

    To insert a manual page break, click in the document where you want the break to occur and press Ctrl+Enter.



  2. View the Break

    Word inserts a dotted line in the document that represents a page break (seen in Normal view here).



  3. Open the Page Break Dialog Box

    For a greater variety of page breaks, column breaks, and section breaks, open the Break dialog box by choosing Insert, Break.



  4. Select an Option

    To set a page break, click the Page Break option. If you're setting a column or section break, select the appropriate options. Click OK to close the dialog box and apply the break.



  5. Open the Page Numbers Dialog Box

    To add page numbers to your document, choose Insert, Page Numbers to open the Page Numbers dialog box.



  6. Choose Position and Alignment

    Click the Position drop-down arrow to change whether your page numbers appear at the top of the page or at the bottom. Click the Alignment drop-down arrow to change how the numbers are aligned on the page. Click OK to close the dialog box and apply the page numbers.
