Task 19 How to Insert Comments, Footnotes, and Endnotes

Comments, footnotes, and endnotes can help you add additional material to your Word documents. Comments can help you identify various users who work on a document. If your office situation requires you to pass along reports for feedback from various department heads, you can use comments to add text to the document. Some documents you create in Word might require footnotes or endnotes to identify the source of your text or to reference other materials. You can easily add such notes to your document pages using the Footnote and Endnote dialog box. Footnotes appear at the bottom of each page; endnotes appear at the end of the document.

  1. Start a Comment

Click in the document where you want to insert a comment and then choose Insert, Comment.

  2. Enter a Comment

A comment balloon opens with space for entering your own comment along with the Reviewing toolbar. Type the comment text just as you do any other text in Word.

  3. View the Comment

To see the author of any comment in a document, simply hover the mouse pointer over the comment. A ScreenTip box appears, revealing the name of the person who wrote the comment.

  4. Add a Footnote or Endnote

Click in the document where you want to add a reference number. Choose Insert, Reference, Footnote to open the Footnote and Endnote dialog box.

  5. Choose an Option

In the Location area of the dialog box, select either Footnotes or Endnotes, depending on the kind of notes you want to add. Click Insert to close the dialog box and return to the document page.

  6. Add a Reference

Word adds a superscript reference number to the text in Print Layout view; a footnote or endnote area opens at the bottom of the window in which you should enter the reference text. When you're done typing the text of the note, click the Close button at the top of the footnote area.
