Task 6 How to Create a New Task

Use Outlook's Tasks folder to keep track of things you need to do, such as picking up your dry cleaning or writing a report. Tasks can be as complex as a year-long project or as simple as a shopping list you need to fill on the way home. A task list can include such things as writing a letter, making a phone call, or distributing a memo. After you create a task list, you can keep track of the tasks and check them off as you complete them. Tasks appear on the TaskPad in the Calendar folder, on the Outlook Today page, and in the Tasks folder. To open the Tasks folder, click the Tasks icon in the Outlook Bar.

  1. Open the Task Window

    From the Tasks folder, click the New Task button on the toolbar. The Task window opens.

  2. Enter a Title

    The Task window, like the Appointment window, is a form you can fill out, detailing the task. With the Task tab displayed, type the subject or title of the task you are creating in the Subject text box.

  3. Enter a Due Date

    If the task has a due date, click the Due date drop-down arrow and choose a due date from the calendar. You can also enter a start date for the task—either the date on which the task was already begun or the future date on which you have to start working on the task.

  4. Select a Status Setting

    Use the Status drop-down list to select a status setting for the project: Not Started, In Progress, Completed, Waiting on someone else, or Deferred. Change the % Complete field if it is applicable (you can type any percentage you want in the text box). As you manage your task list, you can update the Status and Percent Complete fields.

  5. Set a Priority

    Use the Priority drop-down list to give the task a priority level: Normal, Low, or High. Set a Reminder to complete the task if you want. Use the Notes box to enter any notes about the task. To record statistics about a task, such as billable time, contacts, or mileage, click the Details tab. When you have finished filling out the Task window, click the Save and Close button.

  6. View the Task

    The task is added to your Tasks folder's task list.
