Task 13 How to Link and Embed Data

Object linking and embedding, or OLE, enables Windows programs to share data transparently. The data maintains a relationship with the original program. When you link data, any changes made to the data in the source program (the program you originally used to create the data) are reflected in the destination program (the program receiving the shared data). When you embed data, the data isn't updated in the destination file when it's changed, but it does retain a relationship with the source file. Any time you want to edit the data in the destination file, double-click it to reopen the source file and make your changes. When you embed, you can access the source file directly (without opening the source program and file), make the changes, and copy and paste data into the destination file.

  1. Copy to the Clipboard

    The first step in linking or embedding is to copy the data to the Windows Clipboard. Open the source file containing the data you want to link or embed, select the data, and then choose Edit, Copy or click the Copy button.


  2. Open the Destination File

    Next, open the file in which you want to link or embed the data. Click to position the cursor where you want the data to appear.


  3. Open the Paste Special Dialog Box

    Choose Edit, Paste Special. This opens the Paste Special dialog box, where you can link or embed data.


  4. Link the Data

    To link the data, enable the Paste link option and select a format to use from the As list box. The formats listed vary depending on the type of data you select. When you select a format, the Result area at the bottom of the dialog box displays notes about what will happen.


  5. Embed the Data

    To embed the data, choose the Paste option and select a format from the As list box. Notice that the Result area describes what will happen.


  6. Click OK

    Click OK to close the dialog box and link or embed the data.
