Task 12 How to Modify a Report in Design View

To customize the report, open the report in Design view. The report comprises up to six sections in Design view. The Report Header contains information that appears only at the very beginning of the report, the Page Header section contains information that appears at the top of each page, the Group Header contains information that appears at the top of each group (if applicable), Detail contains the actual report data, the Page Footer section contains information appearing at the bottom of each page, and Report Footer contains information that appears at the bottom of the last page.

  1. Open the Report in Design View

    To begin, open the Database window, click Reports in the Objects bar, select the report, and click the Design button.



  2. Add a Label

    To add a text label such as a company name to the report, click the Label tool on the floating Toolbox. Move the mouse pointer to the section where you want to insert the text (such as the Report Header), click and hold down the left mouse button, and drag out a label box. Type your text in the label box and press Enter.



  3. Change the Font

    To change the font size, select the label box by clicking it, and then make your selections from the Font and Font Size boxes on the Formatting toolbar. You can apply other attributes as well, such as italics or bold. Resize the label box if needed by dragging one of the selection handles.



  4. Add a Graphic

    To add a graphic to your report, select the Image tool from the Toolbox. Move the mouse pointer to the section of the report where you want to add the graphic, hold down the left mouse button, and drag out an image box. As soon as you release the mouse button, the Insert Picture dialog box opens.



  5. Select the Graphic File

    Using the Insert Picture dialog box, locate the graphic file you want to use. Double-click the graphic name to insert the graphic in your report. (You might have to adjust the size of the image box by dragging its selection handles.)



  6. Remove Objects

    To remove any object from a report (including a label, field, or graphic), select it and press the Delete key.
