Sending Schedule Notes

There is an additional email option for communicating Project information. Schedule notes offer a couple of advantages: The manager can optionally include the project file with the message, or can include a picture of only the selected tasks for the recipients to review. The mailing list is generated for you when you select a group of recipients from inside the notes messages.

To Do: Sending a Schedule Note

To send a schedule note, follow these steps:

1.
Select Tools, Workgroup, Send Schedule Note. The Send Schedule Note dialog box appears as shown in Figure 23.10.

2.
Choose the recipients by selecting the appropriate Address Message To area check boxes: Project Manager, Resources, or Contacts, or any combination of these three options.

In the For area, choose the group for which you want to include all email addresses: the Entire Project or only the team members mentioned in the Selected Tasks.

3.
With this note, you can include an attachment of the entire File, a Picture of Selected Tasks, or both, by selecting the appropriate check boxes.

4.
Choose OK when finished.

5.
An email message dialog box appears. Adjust the addressee list and subject message as necessary.

6.
Send the schedule message.
