Editing Assignments with the Assignment Information Dialog Box

The Assignment Information dialog box gives you additional information about an assignment—and it's the only way to modify some assignment fields.

To Do: Displaying the Assignment Information Dialog Box

Displaying the Assignment Information dialog box provides the most comprehensive venue for modifying an assignment.

1.
Display either the Task Usage view or the Resource Usage view.

2.
Select the row for the assignment whose information you want to display.

3.
Click the Assignment Information tool on the Standard toolbar or double- click the assignment.

Figure 14.2 shows the Assignment Information dialog box for Pat's assignment to Install Computers. As you can see, the dialog box has several familiar fields you have already worked with, including the assigned work, the assigned units, and the start and finish dates for the assignment. You can also change the name of the assigned resource here, but there's no list to select from, and you must know how to spell the name correctly.

The assignment fields on the Assignment Information dialog box include:

  • The Work Contour field lets you choose from a set of predefined work contours. See the section "Contouring Resource Assignments" later in this hour for detailed instructions.

  • The Start and Finish fields let you frame the time period during which the resource will do its work.

  • The Cost Rate Table field lets you choose one of the five different Cost Rate tables for the resource to be applied to this assignment. The default assignment is table A.

  • The Cost field is usually a display-only field that shows you the total calculated cost of this resource for this assignment. If the resource has been assigned with zero units, the Cost field becomes available for you to enter a fixed cost for the assignment.

  • On the Notes tab, the Notes field lets you record notes about an assignment. Use the Notes field liberally to explain any unique features of an assignment. You can even include these notes on printouts that you distribute to the resource to explain your expectations.

    You will use the Assignment Information dialog box in the next section to change the cost rate table to use for an assignment.
