What Else Can She Do?

Erin’s system of commenting works well in her situation since there are only a few people involved in the process. If she were working in a large workgroup, it might be useful for the group to customize their comments’ colors and icons. Of course, comments of all colors and appearances can be managed in the Comments pane, but showing them in different colors on the document itself can be a useful tool for the visually inclined. For instance, reviewers from the property management department could use magenta callouts and a circle to identify their comments; reviewers from accounting could use green callouts and a checkmark to identify their comments; and so on.

Erin uses Acrobat’s Checkmark feature to manage her work with the comments. These checkmarks are shown on her copy of the document only—the recipients won’t see them. If the preparation of the document had required another round of reviewing by the team, she could allow the others to see her actions by setting the comments Review Status to Completed.
