Viewing the Tasks List

You can view your tasks in several ways, sort them by any important characteristic, and filter the list of visible tasks to make it more manageable.

To view the Tasks list

Click the Tasks icon in the upper-left corner of the Entourage window, choose View > Go To > Tasks, or press .

The Tasks list appears (Figure 5.13).

You can sort the list on any column (except the first) by clicking that column heading. To reverse the sort order, click the same column heading again.

The current sort column's heading is shown in blue.

You can change the displayed column headings by choosing column names from the View > Columns submenu.

Checked column names are displayed; unchecked column names are not.

You can change the order in which column headings are displayed. You might prefer that Due Date be displayed to the left of Task, for example. To move a heading, drag it to the left or right. A vertical dotted line shows the column's new position. When the column is in the desired position, release the mouse button.

To change the size of any labeled column heading (Task, Due Date, Categories, or Projects), click the right edge of the heading and drag to the left or right.

You can filter the Tasks list to show only tasks that match a criterion: matching text, an assigned category, or an associated project. You can also filter the list by selecting a predefined view, such as overdue or incomplete tasks.

Do any of the following:

  • Choose Task contains from the drop-down menu above the Tasks list, and type a string in the text box (Figure 5.14). As you type, Entourage filters the list to show only the tasks that contain the typed characters. To restore the Tasks list, click the Clear icon or delete the typed text.

  • Choose Category is from the drop-down menu and choose a category from the second drop-down menu. To restore the Tasks list, click the Clear icon or set the category to All.

  • Choose Project is from the drop-down menu and choose a project from the second drop-down menu. To restore the Tasks list, click the Clear icon or set the project to All.

  • Choose a completion command (All Tasks, Incomplete Tasks, or Complete Tasks) or a due date command (Due Today or Due This Week) from the View menu (Figure 5.15). To restore the Tasks list after choosing a completion command, choose All Tasks. To restore the Tasks list after choosing a due date command, choose the same command again.

  • In the Views pane, select a custom view by clicking an item in the Tasks Views folder (Figure 5.16). To restore the Tasks list, click the Tasks icon.
