Working with Outlines

Most of us remember creating outlines in high school or college. Sometimes it was because we were forced to do so as part of an assignment; other times it was because we found them a useful—or essential—means of organizing our thoughts for a paper, presentation, or project. If you still find outlines useful or want to explore the ease with which computer-based outlines can be created and organized, try out Word's Outline View.

To create an outline

1.
In a new document, switch to Outline View by clicking the Outline View icon in the bottom-left corner of the document window (Figure 8.21) or by choosing View > Outline.

The Outlining toolbar (Figure 8.22) automatically appears.

Type your first item and press .

Word marks it as a Level 1 item, formatted as Heading 1. Each subsequent item (created by pressing to generate a new paragraph) will be at the same level as the previous item.

To change a selected item's level, you can do any of the following:

  • Click the Promote toolbar icon or press to raise an item's level by one.

  • Click the Demote toolbar icon or press to lower an item's level by one.

  • Move the cursor over a point's outline symbol (+ or -). When the cursor changes to a plus (Figure 8.23), you can drag the item to the left or right to promote or demote it to the desired level.

  • Click the Demote to Body Text toolbar icon to change an item into body text. (This is useful for writing notes and comments related to the item above.)

To move an item and all its subordinate items to a new location in the outline, select the item and use drag and drop to move the item(s) to the destination.

To change your view of the outline, you can do any of the following:

  • To expand/show all levels, click the All toolbar icon or press .

  • Click a level number on the toolbar to show only levels that are at that same level or higher.

  • To expand or collapse a selected item by one level, click the Expand or Collapse toolbar item. Each additional click shows or hides one more level.

  • To hide/show an item's subordinate items, double-click its plus (+) symbol.
