Database Operations

In any database, you can sort the records, filter (display only records that match certain criteria), and calculate subtotals.

To sort a database

1.
Click any cell in the database and then choose Data > Sort.

In the Sort dialog box (Figure 14.5), select a field name from the Sort by drop-down list.

To sort from smallest to largest or earliest to latest, click the Ascending radio button. To sort from largest to smallest or latest to earliest, click Descending.

4.
To perform additional sorts on the data, select fields from the Then by drop-down lists. Specify an Ascending or Descending sort for each field.

5.
Select the Header row radio button to prevent Excel from treating the field labels as a data row that should also be included in the sort.

6.
Click OK to sort the database.
