A GOOD E-MAIL MESSAGE FOLLOWS THE 10 C'S

E-mail should be:

  • Clear so that the purpose of the message is not hidden or buried.

“By sending clear and informative e-mail messages, you can avoid sending and receiving repeat e-mails.”

    —Red Earth Software, 2001

  • Concise and collapsed and does not use extra words or business-speak.

  • Correct and contains accurate names, dates, and details.

  • Conscious of the recipient's needs and mindful of the image projected.

  • Complete enough not to require a follow-up communication because something was left out.

“Writing clearly means getting your message across without the person on the receiving end having to work hard to understand it.”

    —Whelan, 2000

  • Considerate and shows thought for the person on the other side of the communication.

  • Courteous, uses a polite tone, and is an example of excellent Netiquette.

  • Consistent about how information is represented, how people are addressed, and how salutations and closings are expressed.

  • Concrete and firmly and openly states the required action.

  • Connecting to strengthen relationships and build goodwill.
