Copying Data to Another Access Database

Linking and importing tables are powerful features, but they're a bit too powerful when all you want to do is copy a few records from a table in one Access database to a table in another. You can use the standard Windows cut-and-paste functions to copy records from one database to another.

To copy data to another Access database:

1.
Display the tables in your database, click the table containing the data you want to copy to another Access database, and then click Open to open your table in Datasheet view.

Click the row selector of the first record you want to copy, then hold down the Shift key and click the row selector of the last record you want to copy to the other Access database (Figure 12.39).

The selected rows are highlighted. The records you want to copy must be next to each other in the table.

Choose Edit > Copy.

Choose File > Open and navigate to the directory containing the database with the table you want to paste your records into.

Click the name of the database and click Open.

The first database you opened closes—Access only allows you to have one database open at a time.

Display the tables in your database, click the name of the table you want to paste the records into, and click the Open toolbar button to open the target table in Datasheet view.

7.
Choose Edit > Paste Append.

The records appear at the bottom of your datasheet (Figure 12.40).
