Chapter 7. When Things Go Wrong > Logistical Nightmares

Logistical Nightmares

Right Room, Wrong Setup

One reason for arriving early is to give you a little time to fix a room that has been improperly set up. Despite all your preparation, if you do much presenting, this scenario will happen no matter how well you plan and follow up.

First, don’t panic. Although room setup is important, focus first on any glaring issues the setup presents. For example, will your audience be able to see and hear you (including your visuals) from every corner of the room? If the wrong setup does not present any major issues for your presentation, adapt to the situation, make a few minor adjustments, and count yourself lucky. If the setup is a problem, stay calm, contact the proper authority, and explain clearly what you need to have done. If you followed the advice to make friends with those responsible for setting up your room (step 4), then you’ll be in a better position to fix the problem because you know who to call and they know you.
