Appendix. Proofreading Tips

  1. It is easy to miss errors on a computer screen. For important documents, proof from hard copy.

  2. Print out in double space. It will be easier to read and you will have room to mark changes on your printout.

  3. Read it aloud, word by word. Some people even read it backward, word by word.

  4. Let it get cold. Go have a cup of coffee, chat with a co-worker, or have lunch. Then come back with fresh eyes. You’ll pick up errors you didn’t see before.

  5. Give it to another pair of eyes. Develop a Proofing Partnership with co-workers whose eyes you trust. They will see mistakes you may have missed.

  6. Don’t edit when you proof. Edit for grammar, syntax, clarity, and style first. Then go back and proof for spelling, punctuation, and capitalization.

  7. Use your spellchecker, but don’t rely on it 100%.

  8. Proof at prime time. Never proof when you’re tired.

  9. Print out the final draft and check the visual design. Is the format readerfriendly?
