The following information should help you keep your priorities in mind the next time you need to prepare a proposal or report.

  1. Prepare to write:

    • Know your audience and their needs.

    • Know your product and service.

  2. Review the basics:

    • Keep your writing natural and conversational.

    • Omit needless words.

    • Avoid using clichés.

    • Remember the “YOU” perspective.

  3. Choose an appropriate tone:

    • Apply the conversation test.

  4. Use a consistent style:

    • Your style tells your reader a lot about you.

  5. Edit to enhance your writing:

    • Edit ruthlessly to refine and polish your drafts.

  6. Add final polish:

    • Add graphs and charts to help explain especially technical information.

    • Proofread at least twice to make sure your report or proposal is free of typographical errors.
