Re: Strategic Presentations

Thank you for including me in the New Project off-site meeting yesterday. I appreciated learning more about how all the functional areas are coming together on budget and under deadline. (Attention-grabber. "Thank you" always works.)

However, after hearing the various presentations, I recognize that we have an opportunity to enhance the success of the New Project with employees, clients, shareholders, and the media. (Benefit.) Everything we are doing is remarkable, but it is not being communicated as effectively as it needs to be. I recommend a series of presentation skills training workshops for everyone who will be talking about the New Project. (Purpose.)

I realize that, as a manufacturing firm, we have not made training in "soft" skills a priority, but I can assure you that our competitors are offering presentation skills training to their employees. In the past few months, our sales reps have often commented about the excellent presentations they follow at clients' offices. We can't afford to look or sound anything less than the best. (Addressing issues of competition and the priority of presentation training.)

I know you are concerned about time allocation. The training that I am proposing is in three half-day workshops, spaced as much as a week apart. Therefore, employees are not away from their responsibilities for more than four hours in any given day. In addition, participants prepare actual presentations for real audiences, so the time is not invested in hypothetical exercises. (Addresses issues of time and resource investment.)

With your approval, I will contact the managers and begin identifying the participants for workshops to begin in about two months. I should be able to train all 100 employees in four to five weeks. The attached course description, which I will circulate to managers and participants, offers more detail. I would be delighted to discuss any additional concerns. (Addresses concerns about detail and explains attachment.)

Strategic Presentations is an efficient, effective investment that can only enhance the success of the New Project. (Summary.) Please respond at your earliest convenience, and I will immediately begin my preparations. (Request for action.) The New Project is just amazing, and after Strategic Presentations training, the message will be as good as the product. (Strong final statement.)
