Sample Administrative Procedure

When put together, these graphics form a clear path of actions that follows the logic of process. Figure 9.2 shows a sample administrative procedure presented in a flowchart per Dr. Plung's model. In addition to the flowchart, there are four categories on the first page of the procedure that orient the reader to the procedure's limits (scope statement), and any peculiar definitions, references, and general statements that pertain to the procedure as a whole. The general statements are usually some kind of rules pertinent specifically to the procedure; they are not rules general enough to qualify as policy statements.

A scope statement at the beginning of the procedure does not concern essential action, but explains to whom the procedure applies, what circumstances it covers, and who falls outside its provenance. Any terms that might be ambiguous or that need to be understood in a very narrow sense or that are too technical for the procedure audience should be defined before the procedural steps themselves are described. In this section, list all references used to write the procedure.
